Terms of service
Last updated: [EFFECTIVE DATE]
Word of Tour is run by [LEGAL NAME], [POSTAL ADDRESS] ("we"). These terms apply when you or your staff use our website or service. By starting a trial or a plan, you agree to them.
What we provide
Word of Tour collects your reviews in one inbox, drafts replies, sends alerts and monthly reports, and makes QR review cards for your tours. What you get depends on your plan. We improve the service over time. If we remove something your plan includes, we'll tell you at least 30 days before.
Your account
Give us accurate details and keep your sign-in secure. You're responsible for what happens in your account, including what your staff do. Tell us straight away if you think someone else has access.
Trial, plans and payment
Every plan starts with a 14-day free trial. After that, plans are billed monthly in advance through Polar (polar.sh), our merchant of record, at the price on our pricing page for the number of tours you run. [CONFIRM: whether prices include sales tax or VAT.]
The founder offer gives our first 10 customers 50% off for 12 months. After that, the regular price applies. If we change our prices, we'll email you at least 30 days before your first bill at the new price.
Cancelling and refunds
You can cancel at any time. Our refund and cancellation policy explains what happens to your billing, your data and your QR cards.

Review rules you agree to follow
Review platforms protect the trust in their reviews, and so do we. When you use Word of Tour, you agree to:
- Ask every guest for a review the same way, and never send only happy guests to a review page.
- Never offer discounts, gifts, upgrades or anything else in return for a review.
- Never write, edit or post a review for a guest, or pose as a guest.
- Follow each platform's own rules for reviews and replies.
- Upload guest contact details only when you're allowed to use them, and only for guests who booked with you directly.
We may suspend an account that breaks these rules. When we can, we'll tell you why first.
Drafted replies and estimates
AI models draft replies from the review and your brand voice, and a draft can be wrong. Read every draft before you send it: what you post is your reply. On the Done-for-you plan, we check each draft before we post it for you.
Booking figures in the app and in reports are estimates, shown as ranges, not promises. We don't guarantee more reviews, a higher rating or more bookings.
Your data
Your reviews, replies and settings stay yours. You let us store and process them only to run the service for you, as our privacy policy describes. For the guests' personal data in the reviews you manage, you decide what is processed, and we process it on your behalf. [CONFIRM: offer a data processing agreement to customers in the EU and UK.]
Review platforms
Google, Tripadvisor, GetYourGuide and Viator are independent companies, and we aren't affiliated with them. They can change their rules or tools, or remove reviews or replies, at any time. We can't control that and aren't responsible for it.
Availability
We work to keep Word of Tour running and your data safe, but we can't promise the service will always be available or free of errors.
Liability
As far as the law allows, we aren't liable for indirect losses such as lost bookings or profits, and our total liability is limited to what you paid us in the 12 months before the claim. Nothing in these terms limits liability that the law doesn't allow us to limit. [LAWYER TO REVIEW]
Changes to these terms
If we change these terms in a way that matters, we'll email you at least 30 days before the change takes effect.
Governing law
These terms are governed by the laws of [GOVERNING LAW], and disputes go to the courts of [COURTS].
